We are currently seeking a Temporary Medical Receptionist/Administrative Assistant to join our Hagerstown team. The assignment is expected to begin in August 2026 and last approximately 4–6 months, although the exact duration may vary based on business needs.

The anticipated schedule will be approximately 20 hours per week initially, with an increase to 40 hours per week. This is an in-person position.

Key Responsibilities

  • Serve as the first point of contact by warmly welcoming clients, answering incoming calls, routing messages, and supporting visitor needs.
  • Coordinate provider schedules, manage appointments, and assist with client onboarding, including insurance verification, benefit authorizations, payment collection, and required documentation.
  • Maintain organized and up-to-date client records by managing new client charts, filing clinical paperwork, processing medical record requests, and completing case closures.
  • Support medication management processes, including prior authorizations and insurance reauthorizations.
  • Assist with internal communications, marketing material preparation, and general office operations to help create a smooth and supportive environment for clients and staff.
  • Contribute to a positive team atmosphere by performing additional administrative tasks as needed.
  • Perform other duties as assigned.

Qualifications

  • High School Diploma or equivalent required.
  • Minimum of two (2) years of experience in an administrative assistant, receptionist, medical office, or related role.
  • Proficient in Microsoft Office Suite and/or Google Workspace; experience with Electronic Medical Records (EMR/EHR) systems preferred.
  • Knowledge of insurance processes and medical office operations is a plus.
  • Strong organizational skills, flexibility, attention to detail, creativity, and the ability to work independently.
