POSITION SUMMARY

The Data Coordinator is responsible for collecting and managing data on overnight, detox, residential program, and transitional care clients.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential functions include but are not limited to the following:

  • Enters data into databases for residential program, transitional care, overnight and detox clients.
  • Provides support to Food Stamp Coordinator.
  • Provides support to detox, residential program and transitional care staff in the use and oversight of Dr. Chrono files.
  • Works with detox/overnight, homeless outreach and program staff to facilitate the collection of Shelter Point and Client Point Homeless Management Information Systems (HMIS) Surveys and provides necessary data entry.
  • Prepares quarterly reports for development under the direction of Program Administrative Manager.
  • Prepares reports as needed from data sources such as HMIS, Dr. Chrono, detox database, RCOS and departmental spreadsheets.
  • Works with detox, overnight staff, homeless outreach staff, program assistants, Medicaid application assistor and transitional care staff to collect data and provide oversight to rosters, master logs and client administration spreadsheets.
  • Cross checks HIMS & Dr. Chrono to rosters weekly to compare and ensure accuracy.
  • Completes monthly and annual reviews provided by Kentucky Housing Corporation or Louisville Homeless coalition to maintain HMIS license.
  • Seeks additional training in Microsoft Office products and additional databases as needed.
  • Works with detox staff to collect detox database information and enter into Microsoft Access for monthly uploads to University of Kentucky's Institute for Pharmaceutical Outcomes and Policy (IPOP)
  • Provides back up to Food Stamp Coordinator to schedule weekly food stamp applications on Men's and Women's campuses, meeting with clients to complete food stamp applications, and preparing applications for presentation to Food Stamp Office when needed.
  • Sorts and opens appropriate mail from Department of Community Based Services (DCBS)
  • Returns food stamp cards to clients
  • Works with detox staff to provide oversight and assistance in entering clients into Dr. Chrono and scheduling intakes, assessments, and treatment plans.

QUALIFICATIONS / REQUIREMENTS

  • High School diploma or equivalent required. Some college preferred.
  • Experience with Microsoft Office Programs.
  • Strong organization and time-management skills
  • Willingness and ability to travel frequently between facilities
  • Strong interpersonal skills in working with others to provide training and development in computer skills.
